An employee resigns, works a notice period, and leaves. Two months later a customer complains that nobody replied to three emails. They went to an address that still exists, in a mailbox nobody opens, belonging to a person who left. Every business with staff turnover experiences some version of this, and it is entirely a systems problem rather than a people one.
What matters here
- The mailbox is company property — it holds live customer conversations, quotations and commitments.
- Role addresses reduce the damage — sales@ and accounts@ survive any individual's departure.
- Redirection beats deletion — deleting a leaver's address bounces every customer who used it.
- Access must be administrable — you need to control mailboxes, not ask the leaver for a password.
The main options
All of this requires mail you actually administer, which is the practical case for running email on your own domain rather than staff using personal accounts for work. With domain email, the offboarding sequence is short and runs from the hosting control panel: change the password, archive the mailbox contents, forward the address to whoever inherits the relationships, and set an autoresponder naming the new contact. Structurally, lean on role addresses for anything customer-facing — a design decision worth making early, as covered in the business website checklist. And confirm the mail archive is included in your backup routine, because a mailbox is often the only record of what was agreed with a customer.
A caution on personal accounts
Where staff have used personal webmail for company business — still common in smaller UAE firms — you have no administrative recourse at all: no archive, no forwarding, no access to the customer history. The correspondence simply leaves with the person. Migrating everyone onto company addresses is a one-time exercise that permanently removes this exposure, and it is easiest to do before you need it.
How to choose
Write a four-line offboarding checklist and attach it to your existing exit process: password changed, mail archived, address forwarded, autoresponder set. Keep the forward running for six to twelve months — long enough for the market to learn the new contact. It takes ten minutes per departure and prevents the quiet loss of customers who assumed you stopped caring.
