An OTP that arrives in ninety seconds is a failed login. A receipt in spam is a support ticket. Transactional email — the messages your application sends automatically — has different requirements from marketing email, and running both through the same pipe damages the one that must not fail.

Why they must be separated

  • Reputation contamination — marketing sends generate complaints and unsubscribes; sharing infrastructure means those complaints drag down OTP deliverability too.
  • Speed — a password reset is useless in five minutes. Transactional infrastructure is built for seconds.
  • No unsubscribe problem — a customer can opt out of marketing; they cannot opt out of their own receipts. Mixing the streams confuses this.

Setup that actually determines deliverability

Authenticate a subdomain (for example mail.yourdomain.com) with its own SPF, DKIM and DMARC records, and send transactional mail from it. This isolates reputation, keeps your root domain clean, and gives you a clear signal in reporting. Skipping authentication is the single most common reason OTPs land in spam — before volume, before content, before anything else.

Who needs this

Any business whose application or website sends automated mail: booking confirmations, order receipts, login codes, payment notifications. If a human wrote it, it is correspondence. If your system wrote it, it is transactional, and it deserves its own pipe.

What counts as transactional email?

Mail your system sends automatically because of something the recipient did: OTPs, receipts, booking confirmations, password resets, shipping updates. If it is triggered by an action and expected by the recipient, it is transactional. Promotional content does not belong in it.

Why do OTP emails end up in spam?

Usually missing or incorrect authentication — SPF, DKIM and DMARC — followed by sharing infrastructure with marketing sends whose complaints damaged the sending reputation. Fix authentication first; it accounts for most of the problem.

Can I put a small promotion in a receipt?

Technically yes, and it is generally a mistake. Promotional content in transactional mail invites spam filtering of the messages that must always arrive, and can change how the message is treated under consent rules. Keep the streams pure.

Do small businesses need a separate transactional service?

If your website or app sends automated mail that customers depend on — confirmations, codes, receipts — yes, regardless of company size. The volume is often small; the cost of those messages failing is not.
