Most companies do not have a communication problem, they have a fragmentation problem. Decisions get made in WhatsApp, context lives in email, files sit on someone's desktop, and nobody can reconstruct why a thing was agreed.
What to solve for
- Searchable history — a decision you cannot find later did not really get recorded.
- Separation from personal messaging — WhatsApp groups mean staff leaving take the history with them.
- Shared inboxes — for info@ and sales@ addresses with actual ownership.
- Meetings without a separate subscription — if you can avoid one.
The options
Zoho Cliq is team chat with channels, direct messages and searchable history — the direct replacement for work happening in personal WhatsApp groups.
Zoho Connect works as an internal intranet for announcements, policies and company-wide discussion, which is a different job from day-to-day chat and worth keeping separate.
Zoho TeamInbox handles shared addresses so info@ has visible ownership rather than being a mailbox everyone assumes someone else is watching.
Zoho Meeting covers video calls and webinars, and Zoho Workplace bundles mail, chat and documents together — usually cheaper than assembling the same thing from separate vendors.

The real difficulty
Adoption, not features. Teams revert to WhatsApp because it is already on the phone and everyone is already in it. Rolling out a chat tool without deciding what moves off WhatsApp produces a fourth channel rather than a replacement. Decide the boundary first and be explicit about it.
