Automation is the opposite case: the tools exist, and a person is the glue between them, copying an invoice number from one system into another, forwarding attachments, updating a spreadsheet when a form comes in. That glue work is what automation removes.
Three kinds of automation, often confused
- App-to-app integration — when X happens in one system, do Y in another. New form submission creates a CRM lead; paid invoice posts a channel message.
- Process orchestration — a multi-step flow across departments with states and approvals: onboarding a client, fulfilling an order, handling a claim.
- RPA — a software robot operating interfaces built for humans, for the systems with no integration path at all.
The options
Zoho Flow handles the first kind — triggers and actions connecting your applications, which is where most SMEs should start because the wins are immediate and low-risk.
Qntrl handles the second — orchestrating a process with stages, owners and approvals, so "where is this order" has an answer that is not "ask Ahmed".
Zoho RPA covers the third, and it is the last resort by design: robots that click through interfaces are powerful for legacy systems and brittle everywhere, breaking when a screen changes. Use it only where no integration exists.

Where to start
Not with a process map. List the tasks someone does more than daily that involve moving data between two systems, and automate the top three. Typical first wins in UAE SMEs: form submissions creating CRM records, payment received updating the order and notifying the team, and new-client details fanning out to accounting and the project tool. Each is an afternoon's work and permanently deletes a chore.
The maintenance truth
Automations fail silently — an API change or a renamed field, and the flow stops while everyone assumes it is running. Keep an inventory of what is automated, switch on failure notifications, and name an owner. Ten undocumented automations built by someone who left is a fragility, not an asset.
